TEAM BANK ACCOUNT
Each team will have their own team account with the region that will track the team's expenses and deposits for the season. An excel spreadsheet is maintained for each team, not a personal bank account. Anytime you need to deposit player payments/sponsorships, or need a check, this gets logged into the team account. You can request a copy of your statement at any time to check your account balance, email
[email protected]. Team accounts are only for the current fiscal year and
any funds must be used by 7/15/24.
Team Deposit Instructions-There are many different types of funds you could deposit - typical examples are fundraisers, proceeds for working the snack bar, and team sponsorships/donations (corporate or personal). To deposit funds into your team account, please complete the Team Deposit Form. Funds must be handled by team manager or team treasurer, NOT THE COACH. On this form you will summarize the deposit info and turn it into the AYSO office-Attention Treasurer/Melissa Burwell. It's best to drop it through the mailslot of the door. Please DO NOT turn in cash!! If you are collecting money on behalf of the parents, please have your team manager collect so they can write one check. Please make all checks payable to AYSO Region 37 and reference your division and coach name (i.e. 12UB EXTRA (Coach)). Deposits can be used for the payment of tournaments and reimbursements for volunteer/team expenditures.
Tournament Check Request Instructions-Teams must get commissioner approval to enter into tournaments. On the form you will complete the tournament name, region hosting and the total cost of the tournament. A lot of tournaments will have an application that needs to be signed by the commissioner. You will need to turn this into the AYSO office as it will need:
2) Ref Admin approval as you should be bringing a ref crew to secure your ref deposit.

[email protected]4) Sufficient funds in your team account to cover the cost of the tournament prior to requesting a check
Check is normally mailed by our region treasurer to host region. Email
[email protected] if you would rather mail the check off with your forms.
Team Account Reimbursement Form Instructions-Any team-related expenditures can be reimbursed to the volunteer using the available funds in your team account. The volunteer must pay for the expense themselves first, followed by submitting the receipt(s) with the form. Drop the form off to the office or email [email protected]. Your reimbursement request cannot be more than the available funds in your team account. This is especially helpful towards the end of the season when you plan on your end of season parties and gifts. Purchasing gift cards for volunteer/player gifts are not allowed.

Teams need to first get permission from our Regional Commissioner before entering into a tournament. TOURNAMENT REQUEST FORM
If you are going to add another player to your team for a tournament you must have them added to a roster. If you are using a "guest player" from Region 37, your game may not take precedence over their core game. Player must meet age division requirements for your team. Contact [email protected] to add another player and receive a new a signed roster.
Pony Express Tournament-Hosted by Corona at Santana Park over the 3 day weekend in January. All Extra teams are expected to participate. No fee required for Corona teams provided that all referee and team volunteer duties are fulfilled.
SNACK BAR
Teams will have the opportunity to work the snack bar at Santana and will receive a percentage of sales added to their team account. Volunteers must be 18 years of age, will need to register as a volunteer on their ayso37 account, complete online Treasurer Course. Contact Lauren Robinson for information. [email protected]
TEAM VOLUNTEER COMMITMENT
All families on the team will be expected to volunteer their time to the region for field duty, referee duty, the EPIC program and snack bar duty. The regions hosts the Pony Express tournament in January and all families are expected to volunteer for the weekend, this is a free tournament for Corona teams provided the volunteer requirements are met.
